A business visa is a type of visa for individuals who need to travel to another country for business, trade, signing contracts, attending seminars, training, or work-related meetings.
Business visa application is usually divided into three main parts: Personal profile , Company profile in Vietnam and Profile of inviting company/partner abroad .
Original passport: Must be valid for at least 6 months from the expected date of entry.
Visa application form: Fill in the information completely and accurately according to the Embassy/Consulate form.
Passport photos: Size, quantity and photo standards must comply with the regulations of each country.
Identity documents: Citizen ID card/National identity card, Household registration, Birth certificate, Marriage certificate (if any).
Decision to send on a business trip: Official document from the company, clearly stating the name of the person being sent, position, purpose of the trip, duration of the trip and commitment to pay related expenses.
Employment Contract: Copy of valid employment contract.
Business registration certificate: Notarized copy or company confirmation.
Tax receipts or company bank statements: To prove the company's legal business operations and financial capacity.
Other documents: Letter of introduction for representative submitting application, power of attorney if the applicant is not the visa applicant.
This is the most important part to prove the purpose of the trip is valid.
Original Invitation Letter: This letter must be issued by the company/partner abroad, stating:
Invitee information (full name, position, passport).
Specific purpose of the business trip (e.g. contract negotiations, conference attendance, market research).
Expected length of stay.
Commitment on travel costs (who will pay).
Inviting company documents:
Copy of business license or equivalent legal documents of the inviting company.
Copy of passport or identification document of the representative signing the invitation letter.
Evidence of partnership:
Sales contract, economic contract between two parties.
Email exchanges, invoices, import-export documents to prove pre-existing business relationships.
Detailed schedule of meetings, seminars, etc.
Authenticity: All information and documents in the profile must be honest, transparent and highly logical.
Translation and notarization: Most Vietnamese documents need to be translated into English or the language of the destination country, and notarized.
Interview: Some countries require an in-person interview. Be prepared to answer questions about your purpose, travel itinerary, and relationship with the two companies.
Apply early: It is recommended to apply at least 3-4 weeks before the expected departure date to allow enough processing time.
